CORPORATE SECRETARY & OFFICE MANAGER (M/F)
Corporate Secretariat:
·Organise and coordinate Board, Conducting Officer Committee, and other governance-related meetings/committees (agendas, packs, minutes, follow-ups).
·Maintain statutory registers and corporate records; ensure timely regulatory and registry filings.
·Draft and review corporate documents (resolutions, powers of attorney, circulars, regulatory filings).
·Ensure compliance with Luxembourg company law, AIFMD, and governance requirements for corporate secretarial matters.
·Liaise with regulators, legal counsel, notaries, auditors, and internal auditors.
·Respond to external and internal audit queries and support regulatory correspondence.
Office Management:
·Oversee daily office operations, including supplies, IT coordination, and vendor management.
·Support onboarding of new joiners and act as a point of contact for facility-related matters.
·Coordinate internal meetings, events, and administrative support for the local team.
·Maintain and optimise internal administrative procedures to ensure smooth office operations.
THE CANDIDATE PROFILE:
·University degree in Business Administration, Legal, or similar, or significant relevant corporate secretarial experience.
·At least 3 years’ experience in corporate secretarial, legal, or office management roles, ideally in Luxembourg.
·Strong knowledge of Luxembourg company law, registry processes, and AIFM regulatory framework.
·Excellent drafting, organisational, and interpersonal skills.
·Proficient in MS Office tools (Word, Excel, Outlook, SharePoint).
·Fluent in English; French preferred. Other languages are an advantage.
