Personal Assistant to a UHNW European Family in Luxembourg
 
Position Overview: We are seeking a highly organised, proactive, and discreet personal assistant to support a European family and family office based in Luxembourg. This is a full-time, CDI position, offering opportunities for career growth and the potential for increased responsibilities within the family office. The role requires flexibility with working hours.
 
Role Details:
·Location: Luxembourg
·Employment Type: Full-time, CDI
·Schedule: Monday to Friday, with flexibility for occasional overtime or overnight stays
·Career Development: Opportunity for promotion based on performance, with expanded responsibilities in the family office

Key Responsibilities:
1. Administrative and Secretarial Support
·Manage and maintain family schedules and calendars
·Provide administrative services for family members’ companies
·Assist finance manager with invoice management and account reconciliation tasks
·Organise and maintain family filing and records
2. Office management
·Oversee daily office operations
·Develop and implement office policies and procedures
·Maintain filing systems (physical and digital)
·Manage correspondence (emails, calls, mail)
·Monitor office supply inventory and purchasing
·Coordinate repairs and maintenance
3. Day-to-Day Personal Assistance, including but not limited to running personal errands
·Provide day-to-day assistance to the principals and their family members
·Run personal errands as required
3. Household Management
·Oversee the administrative operations of the household
·Schedule, coordinate and supervise as needed house maintenance and services through contractors and service providers
·Set-up processes and supervise household inventories management, supplies orders, and stock levels tracking in collaboration with housekeeper and nannies
·Provide storage management for family members
4. Travel Arrangements and Itinerary Planning
·Research, book, and coordinate travel logistics, including flights, accommodation, activities and local transportation
·Plan travel itineraries for family holidays and work travel
·Manage packing and preparation of suitcases
·Occasionally accompany the family on trips for on-site support
5. Household Staff Coordination and Supervision
·Manage administration for household staff
·Coordinate schedules, supervise duties, and maintain effective communication across the household team
·Assist with hiring and onboarding new employees
·Handle minor HR issues and employee concerns
6. Special Projects and Event Planning
·Lead various projects as needed, such as organising events or coordinating house moves

Requirements
·Proficiency in both English and French
